Recordings & Sharing
Every Viewabo session is automatically recorded. From your Sessions page you can view recordings, share them with others, and manage how long they're kept.
Viewing Recordings
To watch a recorded session:
- Go to your Sessions page.
- Find the session you want to review.
- Click the View button next to the session.
- The recording will open in the video player.
Session details (date, duration, snapshots, and notes) are shown alongside the recording.
Share Video Link
You can share a recording with teammates, managers, or other stakeholders without giving them a Viewabo account. The Share Video Link feature generates a secure, permissioned link using a permit token.
Enabling a Share Link
- Open the session from your Sessions page.
- Click Share Video Link.
- Toggle the share link on.
- Copy the generated link and send it to the recipient.
Disabling a Share Link
To revoke access, toggle the share link off. The link will immediately stop working for anyone who has it.
Password Protection
You can add a password to your share link so only people who know the password can view the recording:
- Enable the share link.
- Turn on Password Protection and enter a password.
- Share the link and password separately with the recipient.
Expiry Settings
Set an expiry date on a share link so it automatically stops working after a certain date. This is useful when you only want temporary access — for example, when sharing with an external party.
Share links are independent of retention
A share link expiry date is separate from the recording's retention period. If the underlying recording is purged due to retention limits, the share link will also stop working regardless of its expiry date.
Recording Retention
How long recordings are stored depends on your plan. Self-serve plans each include a retention period:

Recordings are counted from the date the session was completed. Once the retention period ends, the recording is permanently purged.
Retention Expiry Badges
Your Sessions page shows a badge next to recordings that are approaching or past their expiry:
- Yellow badge — The recording is nearing expiry. Download it soon if you need to keep it.
- Red badge — The recording expires very soon (within a few days). Download immediately if needed.
- Removed badge (amber) — The recording has been purged and is no longer available.
Purged recordings cannot be recovered
Once a recording is purged it is permanently deleted and cannot be restored. Download any recordings you need to keep before the expiry date.
Downloading Recordings
To download a recording before it expires:
- Open the session from your Sessions page.
- Click the Download button in the video player.
- The recording will be saved to your device.
Pro Tip
Set a recurring reminder to review and download any recordings you want to keep before the yellow expiry badge appears. On the Starter plan, that means reviewing sessions that are around 75 days old.
When a Recording Is Purged
After a recording's retention period ends, the video is removed. You'll see a "Recording Removed" message in place of the video player when you open the session.
The session details — including the date, duration, participant info, snapshots, and any notes — remain accessible even after the recording is purged. Only the video file itself is removed.
Purged Recordings and Share Links
If someone opens a share link for a purged recording, they will see a "Recording No Longer Available" message. The link itself remains valid, but there is no video to display.
